Set up your invoice format (BIR sample invoices)
Choose your invoice names, number series, Acknowledgement Certificate details, notes and payment receipts. GodoERP picks the right BIR sample format for your tax type.
GodoERP's invoice formats are based on the BIR sample invoices in RMC 77-2024 (Annex B1–B6). You don't pick a template: your tax type decides which formats apply, and each invoice's lines decide which one prints. A non-VAT business can never print a VAT invoice.
Where: Administration › Settings › Invoice Format.
1. Check your tax type
The top of the page shows your tax type: VAT-registered, Non-VAT, pays percentage tax, Non-VAT, 8% income tax option or Exempt from VAT and percentage tax. It comes from Company Settings and must match your BIR Certificate of Registration (COR).
2. Preview your formats
Click Preview on each format to see it with your details and sample amounts. See Which invoice format prints for what each one is for.
3. Keep your current format (if the BIR acknowledged it)
If the BIR acknowledged your current invoice when you registered your system, tick Keep my current invoice format exactly as it is. Your invoices keep their look, and your Acknowledgement Certificate details print at the bottom. It is ticked for you if you already issue invoices.
4. Invoice names and number series
Tick the names you issue: Service Invoice, Sales Invoice, Billing Invoice or Invoice. The word INVOICE always prints larger than the name. See Invoice names and number series.
5. BIR details at the bottom of every invoice
Enter your Acknowledgement Certificate Control No. (or PTU No.), Date issued and Approved series from / to, exactly as on your certificate. RR 7-2024 Sec. 6(B)(21) requires them at the bottom of system-generated invoices.
6. Look and notes
- Paper size: A4 or Letter.
- Show my logo: uses the logo from Brand Settings.
- Notes: payment terms, bank details or a thank-you message, printed above the BIR details.
Your trade name and "Operated by" are in Company Settings.
7. Exempt sales and payment receipts
- Exempt sales (non-VAT businesses that pay percentage tax only): tick it if you also sell goods or services exempt under Tax Code Sec. 109. See Which invoice format prints.
- Payment receipts: tick it to issue a numbered receipt for each payment. See Payment receipts.
Click Save.
Important: Invoices already issued never change. Each invoice keeps the format it was issued with, so a reprint matches the original.
Note: These formats follow the BIR's published samples. They are not a BIR approval. Your own registration with your RDO decides what is approved for your business, so have your accountant or RDO confirm your format.
