Void an invoice the right way
When and how to void an issued invoice, and why its number is never reused.
An issued invoice can't be edited or deleted, because the BIR requires every number in your series to be accounted for. If an invoice is wrong or cancelled, void it.
When to void
- The invoice was issued by mistake, to the wrong customer or with completely wrong details.
- The sale was cancelled before anything was delivered or paid.
If the sale was valid but you need to give back part of the amount (a discount, a return or an overcharge), use a credit note instead. See Issue a credit note.
How to void
- Open the invoice.
- Click Void Invoice and enter the reason.
- Confirm.
The invoice is marked Voided, with the date and reason. Its accounting entries are reversed, and its number stays retired and is never used again. You can still Print Voided Copy for your files.
Then create and issue a new, correct invoice if needed.
Important: Keep the original printed copy of any voided invoice that was already given to the customer, if you get it back. Your accountant or a BIR examiner may ask for it.
