Payment receipts

Issue a numbered Payment Receipt (BIR sample B6) for each payment you receive.

Updated Nov 8, 2026

Under the invoicing rules (RR 7-2024 and RMC 77-2024), the invoice is the proof of sale. When a client pays, you may issue a Payment Receipt, a supplementary document. It is never valid for claim of input tax, and it can't replace the invoice.

Turn it on

  1. Administration › Settings › Invoice Format › Payment receipts.
  2. Tick Issue a numbered Payment Receipt for each payment received.
  3. Enter the Prefix (for example PR) and First number, then click Save.
  4. Enter the receipt series' Approved from / to once registered with your RDO.

How it works

  • Every payment you record with Record Payment and Receipt (the invoice's payments page) gets the next receipt number.
  • Online payments (PayMongo, Xendit) and confirmed bank-transfer proofs get one too.
  • Click Payment Receipt PR000001 in the payment history to open or print it. The payment confirmation email to the client attaches the receipt.

The receipt shows your details, the payment method (cash, check, bank transfer or e-wallet, credit card, online), who paid, the amount, Invoice Reference No., "THIS DOCUMENT IS NOT VALID FOR CLAIM OF INPUT TAX" and your Acknowledgement Certificate details.

Tip: A Cash Sale paid on the spot doesn't need a receipt. The invoice itself shows "Received the amount of".

Note: Payments recorded before receipts were turned on keep their payment confirmation. A voided payment's receipt shows VOID.
