Record and categorize an expense

Enter a business expense and review its category and payment details.

Updated Oct 27, 2026

Use Expenses for business costs recorded outside the supplier-bill workflow. Use the Bills workflow when you need to track an amount owed to a vendor.

Record an expense

  1. Open Expenses and choose Create. You need the Expenses permission.
  2. Enter the transaction date and description.
  3. Choose the appropriate expense category and payment/account details offered by the form.
  4. Enter the amount and tax details supported by your setup.
  5. Compare the details with the receipt or other supporting document, then save.
  6. Return to the expense list and confirm the saved transaction appears as expected.

Manage categories

Open the expense category management screen to review existing categories or add/update one if your role permits it. Choose a category that accurately describes the cost and use it consistently.

Avoid common mistakes

  • Do not record the same receipt as both an expense and a vendor bill.
  • Do not guess the tax treatment; confirm it with your accountant.
  • Keep the receipt and transaction reference for audit purposes.
  • If an expense must be reversed, use the available void/correction workflow instead of entering an unrelated negative expense.
