Night shifts: clocking out after midnight at the kiosk and portal
How a shift that crosses midnight is recorded on the day it started, and what to do when someone forgets to clock out.
A shift that crosses midnight, such as 10:00 PM to 6:00 AM, is recorded on the day it started. The employee clocks in Monday night and takes a break or clocks out Tuesday morning. Every punch goes to Monday's DTR, so the hours, night differential and overtime are computed as one shift.
This works the same at the office kiosk and in the employee portal (/my).
Set it up
- HR › Shifts: create the night shift, for example start 22:00, end 06:00, with its break and grace minutes. A shift whose end time is earlier than its start time is a night shift.
- HR › Employees: set that Shift on each night-shift employee.
That's all. Employees on a day shift aren't affected.
What the employee sees
- 10:00 PM: Time in, as usual.
- Next morning: the kiosk shows "You clocked in on Mon, Nov 9 at 10:00 PM" with Break out and Time out.
- After Time out, the shift is closed. The next Time in that evening starts a new day.
When someone forgets to clock out
A night-shift Time in stays open for 20 hours. After that, the next punch starts a new day, and the forgotten shift has no time out. Fix it as usual:
- HR enters the time out on HR › Attendance for the day the shift started, with a reason, or
- the employee sends an Attendance request from the portal.
For day-shift employees nothing carries over: if they forget to clock out, the next morning starts a new day as before.
Good to know
- Payroll locks follow the shift's start day. If Monday is inside an approved or posted payroll, its night shift can't be changed.
- The DTR and the attendance summary show the whole shift on the start day, with time out after midnight (for example 06:00).
- Biometric CSV punch logs are matched by date. For night shifts, use the kiosk or portal, or import the "one row per day" format.
