Run payroll, step by step
Create a period, compute, add one-time items, approve, post to the books, disburse and send payslips.
Where: HR › Payroll.
A payroll period moves through four statuses: Open → Computed → Approved → Posted.
1. Create the period
Enter the Start date and End date, keep Semi-monthly as the frequency, and click Create Period.
2. Compute
Open the period and click Compute Payroll. GodoERP creates one row per active employee with Days, Gross, Deductions and Net Pay. Deductions combine SSS, PhilHealth, Pag-IBIG, withholding tax, loans and authorized deductions.
If you see employee(s) have missing or invalid government data, click Open Employee Data Check and fix the records.
3. One-time items (optional)
Under One-time items this cutoff, add a bonus, commission, salary adjustment or authorized deduction for one employee in this payroll only. Choose the employee, Pay type and Amount, add a note, and click Add. That employee is recomputed immediately.
Recurring allowances belong on the employee's record instead.
4. Review
Check each row and open a few Payslips. Approved overtime, leave and loans are included. If you change attendance, overtime or leave, click Recompute.
5. Approve
Click Approve Payroll. Attendance for these dates is now locked.
6. Post to the books
Click Post to GoDoBooks. This creates the journal entry for salaries, contributions and withholding tax. You can open it with Journal entry →.
7. Pay your employees
- Bank file (CSV): a file for your bank's payroll upload.
- Disburse Payroll: record the payment from your bank or cash account. You can disburse in parts, and the page tracks the Balance due.
- E-mail payslips: sends each employee their payslip.
Made a mistake?
Before anything is disbursed, use Void this payroll. The ledger impact is reversed and the period reopens for correction. Once disbursed, it can't be voided.
Tip: After posting, record your government payments. See Remit SSS, PhilHealth, Pag-IBIG and withholding tax.
