Set up HR: departments, positions, shifts, holidays and pay types

The one-time setup that payroll and attendance rely on.

Updated Oct 26, 2026

Do this once before adding employees. Everything is under the HR menu. HR and payroll is included in plans with the HR module.

1. Departments and positions

  • HR › Departments: group employees for reporting and payroll, for example Operations or Admin.
  • HR › Positions: job titles such as Accountant, each linked to a department.

2. Shifts (work schedules)

HR › Shifts › add a shift:

  • Name, Start and End, Break starts and Break (minutes)
  • Grace (minutes): how late someone can clock in before they're marked late
  • Working days: other days are rest days. Work on a rest day is paid at the rest-day rate.

Paid hours (end minus start minus break) must equal a full working day, for example 08:00 to 17:00 with a 60-minute break.

3. Holiday Calendar

HR › Holiday Calendar: add regular and special non-working days for the year with their Type. Payroll uses them for holiday pay.

4. Pay types (earnings and deductions)

HR › Pay Types holds allowances, bonuses and deductions beyond basic pay:

  • Code and Name, and Kind: Earning (adds to pay) or Deduction (from net pay)
  • Tax treatment, plus a De minimis ceiling for de minimis benefits
  • BIR 2316 box and GL account

Tip: Check your government employer IDs (SSS, PhilHealth, Pag-IBIG) in Administration › Settings before your first payroll. They print on the remittance reports.
