Kiosk PINs and clocking in: time in, breaks and time out

Give each employee a PIN, or let them set their own, then clock in at the kiosk. Includes wrong-PIN locks and unlocking.

Updated Nov 5, 2026

Staff clock in at the kiosk with their Employee # and a PIN. A PIN is numbers only.

Give employees a PIN (HR)

HR › Kiosk Devices › Employee PINs:

  1. Click Make PIN next to one employee, or Make PINs for the (number) without one for everyone who has none.
  2. Write each PIN down. A made PIN is 6 digits and is shown only once. Leaving or refreshing the page hides it for good, and GodoERP keeps only a scrambled copy.
  3. Give each PIN to its employee privately.

If someone forgets their PIN, make a new one. It replaces the old one. HR can also remove a PIN, so that employee can't clock in at the kiosk.

Let employees set their own PIN

Employees who have a login can do it themselves, in the portal:

  1. Log in and open Profile (at /my).
  2. In Office Kiosk PIN, type your account password, then a new PIN of 4 to 8 digits twice.
  3. Click Save my PIN.

Easy PINs such as 0000 or 1234 are refused. Setting a new PIN also clears a lock. If someone signs in with Google and has no password, HR makes their PIN instead.

Clock in at the kiosk

  1. Type your Employee number and PIN, then continue.
  2. Tap the button you need:
    • Time in when you start.
    • Break out and Break in for a break.
    • Time out when you finish.
  3. You see "Thank you" for a few seconds, then the start screen returns for the next person.

Only the buttons that make sense show. After Time in you can take Break out or Time out. On a break, only Break in. After Time out, there are no buttons for that day. You can't clock in twice.

If you wait too long on the screen (about a minute) you see "That took too long. Please start again." Just start again.

Wrong PIN and locks

  • A wrong number or PIN says "Employee number or PIN is not correct," and shows how many tries are left.
  • Five wrong tries lock the PIN for 15 minutes.
  • HR can unlock it sooner under HR › Kiosk Devices › Employee PINs › Unlock.

Making, unlocking and removing PINs are written to the Activity Log. The PIN itself never is.

Who can clock in

  • Active employees who aren't past their separation date.
  • Employees with a PIN. If there isn't one, the kiosk says "You do not have a kiosk PIN yet. Ask HR to give you one."

When the kiosk says it can't record your time

If today falls in a payroll period that is already approved or posted, the kiosk refuses the punch and tells you to ask HR. See Record attendance and Run payroll.
