Leave: types, balances and requests

Set up leave types and accrual, keep balances current, and approve employee leave requests.

Updated Oct 28, 2026

Payroll pays approved leave, so set this up before your first run.

Leave types

HR › Leave › Leave Types. For each type enter:

  • Code, Name and Legal basis (for example, Labor Code Art. 95 for service incentive leave).
  • Paid or unpaid, and Days per year as the default allowance.
  • Accrual: earned monthly (for example, 1.25 days a month) or once a year, using Days / month or / year.
  • After months of service: how long an employee must work before earning it.
  • Carry over max: unused days that roll into next year.
  • Convertible to cash and convertible on separation.
  • Max days per employee (optional).

Balances

HR › Leave › Leave Balances shows allocated or earned days, approved leave taken and Available per employee.

  • Credit earned leave up to today posts accruals. It's safe to run more than once, since each accrual is recorded only once.
  • Edit a balance and click Save balances for manual adjustments.
  • Convert unused leave to cash (year-end) turns convertible days into pay.

The Leave Ledger lists every earning, use and adjustment per employee and year.

Leave requests

  1. New Leave Request: pick the employee, leave type, start date, end date and a reason, then Submit Request.
  2. The request starts as Pending.
  3. A manager clicks Approve or Reject.

Approved days reduce the balance and flow into payroll.

Important: Leave inside an approved or posted payroll period is locked. Void that payroll first if you must change it.
