Bill and expense problems: payments, EWT and voids

Fix common messages when paying a bill, recording withholding tax or voiding an expense.

Updated Oct 28, 2026

"Payment cannot exceed the bill balance due"

The amount is more than what is still owed on the bill. Check the balance due on the bill, including any debit notes, and enter an amount up to that.

"A voided bill cannot receive a payment"

The bill was voided. Create a new bill if the purchase is still valid.

"Draft bill editing is not enabled"

Bills are posted when saved, so they are not edited in place. To correct a bill, void it and enter it again. See Correct a bill or expense safely.

Withholding tax (EWT) messages

Message What to do
"The vendor TIN is required when EWT is applied…" Add the vendor's TIN on the vendor profile.
"EWT-subject expenses require a Vendor / Payee profile…" Select or create the vendor on the expense.
"Select an EWT rule or enter an ATC code…" Choose the rule, or type the ATC code.
"An EWT-subject expense must have an EWT rate greater than zero." Enter a rate above 0%.
"The EWT amount cannot equal or exceed the gross expense amount." Check the amount and rate you entered.

See Expanded withholding tax (EWT) and BIR Form 2307.

"The expense has no journal entry and cannot be safely voided"

That expense never posted to your books, so there is nothing to reverse. Contact support with the expense details before changing it.
